Reservations should be made online using our Request Form and delivered to Venus Travel’s office in Vietnam. A 30% (thirty percent) deposit is required when a reservation is confirmed. The final amount for the whole tour or business service package must be paid to Venus Travel at least 14 days prior to the client’s arrival. Failure to comply may result in the cancellation of the client’s bookings, with no refund for any money previously paid to Venus Travel by the customer. Clients can avoid the expense of a second transfer by paying the whole amount rather than a deposit.
Venus Travel has the right to impose cancellation costs if they are incurred by suppliers, hotels, airlines, restaurants, or other contractors. Venus Travel has the right to charge fees for planning, consulting, and other ancillary charges. Cancellation costs would be applicable from the day Venus Travel received the client’s written cancellation notification and would be imposed as follows:
• From 21 working days prior to arrival date: 50% of total tour/service cost.
• From 9 working days prior to arrival date: 70% of total tour/service cost.
• From 72 hours to arrival or no show: NO REFUND
There will be NO REFUND for any unused or missed ground arrangements, sightseeing, meals, or hotel accommodations.
We will cancel the trip and refund 100% in the following cases:
Bad weather, such as storms, earthquakes, and tsunamis, is beyond our control.
Political actions and government prohibitions on diseases and natural calamities have a direct impact on customers.

We accept all major credit and debit cards. VENUS TRAVEL does not store any information related to your card in the VENUS TRAVEL system. Your card information is secured at the MasterCard System and the Bank for Foreign Trade of Vietnam (Vietcombank).
Currently, the VENUS TRAVEL system accepts VISA, MasterCard, JCB.

Clients are strongly advised to purchase personal travel insurance on their own, as Venus Travel will not be accountable for any accidents, sicknesses, thefts, or losses that occur during their vacation. See the Liability clause for more specific details.
“Travel insurance is mandatory for all participants. At the time of booking, you must arrange your own insurance with a reputable insurer, with protection for the full duration of the tour, to cover personal injury, medical expenses, repatriation expenses, loss of luggage, and the expenses associated with cancellation or curtailment of a tour. Evidence of such insurances should be produced to us on request. If you are opting for insurance covered by your credit card company, please ensure it includes cover for the above listed items.
You acknowledge that insurance coverage is not included in the cost of any Tour offered by us.”
“You must let us know at the time of making your booking if you have special requests or needs (such as ground floor accommodation, disability access or specific dietary requirements). We will try to meet any request you have, however, we cannot guarantee that we will be able to accommodate every person’s needs and we make no promises and take no responsibility for special requests which we are unable to fulfil. If we reasonably feel we are unable to satisfactorily accommodate your particular needs, we reserve the right to decline the booking or ask for you to be accompanied by a person who is able to provide full assistance to you throughout your tour”
All travellers must check your travel documentation to ensure that the dates are correct, visas have been obtained and passports have at least six months validity after the last date of travel with us as set out on your itinerary. Please ensure you carefully read your invoice and all other documents we send to you as soon as you receive them and contact us immediately if any information appears to be incorrect. If you do not arrive on the agreed date for your tour, we may treat the tour as having been cancelled by you.
It is your responsibility to ensure you are aware of any health requirements and recommended precautions relevant to your travel and ensure that you carry all necessary vaccination documentation. In some cases, failure to present required vaccination documentation (e.g. proof of Yellow Fever vaccination) may deny you entry into a country. We recommend that you consult with your local doctor, travel medical service or specialist vaccination clinic before commencing your tour.
Venus Travel is devoted to providing services to the best of its ability and to the satisfaction of its customers. However, as an intermediary between its clients and airlines, hotels, transport operators, and other contractors, Venus Travel shall not be liable to its clients for any accidents, loss, injury, damage, death, or delay caused by any circumstances other than Venus Travel’s negligence or willful default, including any act or event beyond the control of Venus Travel and its contractors. Venus Travel is not responsible or accountable for any additional fees or damages incurred as a result of any delay, accident, natural catastrophe, political action, unrest, strikes, acts of war, or other force majeure.
Venus Travel also retains the right to change the schedule, replace hotels, or cancel a trip before departure in the best interests of its clients, with or without prior warning.
All conflicts, claims, and litigation involving the services shall first be resolved through talks and mutual understanding. If talks and mutual understanding fail, the disputes, claims, and litigation will be resolved through arbitration by the Vietnam International Arbitration Centre (VIAC) at the Chamber of Commerce and Industry of the Socialist Republic of Vietnam. All claims must be presented in writing within 30 days after the conclusion of the services.
